The Walt Disney Company is looking for a motivated Part-Time Event Solutions Coordinator to join the Event Solutions team. This role involves collaborating with Disney Destinations, Sales, and Marketing teams across Walt Disney World, Disneyland, Disney Cruise Line, and Aulani, A Disney Resort & Spa. The primary responsibility is to manage reservations for events that showcase the Disney brand and its unique experiences, products, and services. You will support key partners like Public Relations, Sales, Merchandise, Disney Institute, and Contest Winners by providing exceptional “one-stop” service for their attendees.

Key Responsibilities

As an Event Solutions Coordinator, your primary duties will include:

  • Project Management: Actively review all project timelines to ensure event objectives are met.
  • Guest Registration: Manage the entire registration process, including creating and updating guest profiles in the Guest Service Suite system, monitoring RSVP reports, and booking travel arrangements and resort reservations.
  • Internal Communications: Prepare internal communication materials like meeting minutes, event updates, action plans, budgets, timelines, and more.
  • Event Communication: Create and distribute event communication pieces, including Save the Dates, Invitations, Resort/Travel Confirmations, Welcome Packages, name badges, and amenities.
  • Asset Management: Follow all steps for asset receipt, distribution, reconciliation, and return.
  • Guest Assistance: Provide guest support via phone and email across multiple phone lines and mailboxes.
  • On-Site Coordination: Coordinate the Event Hospitality Desk and on-site check-in locations.
  • Financial Management: Process guest and voucher payments, monitor balances, build guest invoices, create usage fee reports, track partner billing, and conduct monthly account reconciliations.
  • Merchandise Transactions: Input and process credit card payments, confirm receipts, and manage orders for returned or canceled items.
  • Ticket and Pass Distribution: Order and distribute ticket media and parking passes.

Required Qualifications & Skills

To be considered for this role, candidates must have:

  • Event Process Understanding: Familiarity with the event planning process and related internal and functional responsibilities.
  • Multitasking Ability: Capable of working in a fast-paced, dynamic environment, managing multiple projects with varying priorities and timelines.
  • Guest and Partner Interaction: Ability to provide high-quality interactions by adhering to Disney’s standards of quality.
  • Organizational Skills: Strong attention to detail and the ability to prioritize tasks effectively.
  • Flexibility: Willingness to work evenings, nights, and weekends as needed.
  • Technical Proficiency: Experience with Microsoft Office Suite (Excel, Word, PowerPoint).
  • Confidentiality: Ability to handle sensitive information.
  • Industry Experience: Prior experience in the hospitality industry.

Preferred Qualifications

Candidates with the following experience will have an advantage:

  • Disney Systems Proficiency: Experience with Disney-specific systems (Guest Service Suite, Dreams, Lilo, Travel Box, Concur, EventsWithDisney, Knowledge, Siebel).
  • Education: A Bachelor’s degree or related experience in Event Planning.
