Position Overview:
The Royal Conservatory is seeking a Facility Rentals Event Supervisor to join their team on a part-time basis. This role, reporting to the Facility Rentals Manager, is crucial in ensuring the smooth execution of events hosted at RCM. The supervisor will oversee event operations, ensuring all client and vendor needs are met with a high level of customer service and adherence to RCM policies. This role is pivotal in delivering successful events from start to finish while maintaining a high standard of service.

Key Responsibilities:

  • Event Oversight: Act as the primary point of contact for event clients on the day of the event, managing setup, the event itself, and post-event activities.
  • Client Interaction: Welcome and liaise with event clients, addressing any day-of requests and ensuring a high level of service throughout the event.
  • Event Coordination: Review event details at the beginning of each shift to ensure thorough understanding and confirm details with the Event Coordinator.
  • Operational Management: Oversee the entire event process, from setup through to service and breakdown, ensuring smooth operations and addressing any issues that arise.
  • Supplier Liaison: Coordinate with internal and external suppliers, including florists, caterers, and setup staff, to ensure all aspects of the event are managed effectively.
  • Staff Supervision: Lead and direct venue suppliers, such as security and cleaners, to ensure all services are provided as required.
  • Reporting: Track event timings and provide detailed post-event reports, including any deviations from the planned schedule, issues encountered, or items requiring follow-up.
  • Safety and Compliance: Ensure adherence to health and safety procedures, report any new risks or hazards, and manage emergencies in coordination with Security.
  • Customer Service: Address client and guest issues professionally, assist with accessibility and special needs, and ensure overall comfort during the event.

Qualifications:

  • Experience: Minimum of 2 years in event supervision or on-site event execution, preferably in a performing arts or events venue. Experience in catering and hospitality services is also beneficial.
  • Skills: Proficiency in Microsoft Office Suite, excellent communication skills, creative problem-solving abilities, and strong customer service skills.
  • Certifications: Valid Smart Serve certification is an asset.
  • Attributes: Professionalism, empathy, patience, and the ability to remain calm under pressure. Strong organizational skills and attention to detail are essential.

Work Schedule:

  • Hours: The role requires availability for evenings, weekends, and holidays. The schedule will vary, encompassing late evenings and extended periods of standing.
