Role Overview:
As an Office Administrator at BDC Square Toronto, you will play a crucial role in ensuring the smooth operation of our office and enhancing the overall experience for employees and guests. This position involves working on-site Monday through Friday, managing a space that hosts over 200 employees. You will be responsible for developing and refining operational processes from start to finish.
Key Responsibilities:
- Visitor and Employee Interaction: Greet visitors and employees warmly and professionally, serving as the primary point of contact.
- Communication Management: Handle incoming calls and emails efficiently.
- Office Supplies and Equipment: Manage inventory for office supplies and equipment, including assigning lockers and ordering necessary materials.
- Access Control: Issue QR codes for elevator access and office passes (both temporary and permanent).
- Mail and Deliveries: Oversee incoming and outgoing mail, manage courier services, and maintain order in the mailroom and photocopy areas.
- Office Maintenance: Ensure all office spaces, including kitchens and meeting rooms, are well-maintained.
- Meeting Room Management: Coordinate room bookings and event scheduling in collaboration with the events and marketing teams.
- Stakeholder Relations: Maintain relationships with key internal and external stakeholders, including IT and building management.
- Point of Contact: Serve as the contact person for requests related to cleaning, catering, office management, building maintenance, and security.
- Health and Safety: Act as the health and safety representative for the Toronto office.
Qualifications:
- Customer Service Skills: Exceptional customer service, communication, and organizational skills.
- Interest in Entrepreneurship: A strong interest in the Canadian entrepreneurial ecosystem.
- Experience: Experience in creating, collaborating, and implementing solutions, with the ability to thrive in uncertainty and solve problems innovatively.
- Education: A diploma or certificate in business administration is preferred but not required.
- Industry Experience: Experience in hospitality or office management is an asset.
- Microsoft Office: Proficiency in Microsoft Office Suite (Word, Outlook, Teams, Excel, PowerPoint, OneNote).
