To support our growing team, we are seeking a highly organized and detail-oriented Property Management Administrator. Role Overview:

As a Property Management Administrator, you will play a crucial role in the day-to-day management of our rental properties. You will be responsible for overseeing various aspects of property management, including financial transactions, tenant communications, maintenance coordination, and documentation. This role requires a proactive and efficient individual with strong organizational skills and the ability to handle multiple tasks simultaneously. You will be working closely with both tenants and maintenance teams to ensure smooth operations and high levels of tenant satisfaction.

Key Responsibilities:

  • Rent Management: Manage the entire rent collection process, including tracking payments, handling transactions, and addressing any issues related to rent collection. Ensure that all rent-related activities are completed accurately and in a timely manner.
  • Financial Oversight: Handle all financial aspects related to property management. This includes invoicing, processing bill payments, and maintaining precise financial records. You will be responsible for ensuring that all financial transactions are recorded correctly and that any discrepancies are addressed promptly.
  • Maintenance Coordination: Oversee the scheduling and execution of maintenance tasks. This involves tracking maintenance requests, coordinating with technicians, and ensuring that repairs are completed promptly. You will need to ensure that all maintenance issues are resolved efficiently to maintain the quality of our properties.
  • LTB Documentation: Prepare, file, and manage all necessary documentation related to the Landlord and Tenant Board (LTB). This includes handling paperwork related to tenant disputes, eviction notices, and other legal matters. Your attention to detail will be critical in ensuring that all documentation is accurate and complies with relevant regulations.
  • Past-Due Rent Collection: Actively manage the collection of overdue rent. This involves communicating with tenants to address outstanding payments and managing accounts in arrears. You will need to handle these situations with tact and professionalism to maintain positive tenant relationships.
  • Reporting: Generate and maintain detailed financial and operational reports. These reports will be used to track performance, identify trends, and make informed decisions. Your ability to analyze data and present it clearly will be essential for this aspect of the role.
  • Additional Duties: Perform other tasks as required to support the overall property management operations. This may include assisting with special projects, handling administrative tasks, and providing support to other team members as needed.

Qualifications:

  • Experience: Candidates should have prior experience in property management, administration, or a related field. A minimum of one year of relevant experience is required.
  • Skills: Proficiency with property management software and accounting tools is essential. Experience with QuickBooks Online is highly preferred, as it will be used for financial record-keeping and reporting. Familiarity with Jobber, a maintenance management tool, is also beneficial.
  • Organizational Skills: The role requires strong organizational skills, with the ability to manage multiple tasks and prioritize effectively. You will need to demonstrate a high level of attention to detail and the capability to handle a busy workload.
  • Communication: Excellent communication skills are crucial for this role. You will be interacting with tenants, maintenance staff, and other stakeholders regularly. The ability to communicate clearly and professionally, both verbally and in writing, is essential.
  • Knowledge: Knowledge of the Ontario Residential Tenancies Act and LTB procedures is a plus. Understanding these regulations will help ensure that all activities are compliant with legal requirements and that tenant rights are upheld.
